A WWB Production is a dynamic and fast-paced film and television company dedicated to meaningful storytelling and impactful content. We’re currently seeking a motivated and detail-oriented Administrative Assistant to join our team for a 12- week assignment.
Role Overview:
As an Administrative Assistant, you’ll play a vital role in helping our CEO stay organized, supported, and on track. You’ll handle key logistical and coordination tasks that keep our projects running smoothly—including assisting in the planning of an upcoming production shoot scheduled to begin in mid-October.
Responsibilities:
- Set up and manage Zoom meetings and virtual events
- Draft and manage emails and communications
- Assist in calendar management and scheduling for the CEO
- Help maintain project timelines and administrative documentation
- Coordinate internal communications between team members
- Assist in the coordination and management of an upcoming production shoot scheduled to begin mid-October
Skills and Interests:
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint)
- Comfortable with remote collaboration and scheduling tools
- Strong attention to detail and communication skills
- Interest or experience in the film and television industry is a valuable asset

Expected Project Outcomes and Deliverables:
- Filming Support and Team Coordination:
- The Administrative Assistant will help facilitate the successful execution of a month-long production shoot by coordinating team schedules, distributing updated call sheets, assisting with location logistics, and supporting day-to-day operations of the production crew. This will ensure clear communication among departments and help maintain momentum throughout filming.
- Executive Scheduling and Calendar Management:
- A streamlined and well-maintained calendar for the CEO, including daily reminders, prioritized scheduling, and prompt updates to any changes. The assistant will ensure the CEO’s availability aligns with key production meetings, external calls, and important decision-making milestones.
- Meeting Planning and Execution:
- Consistent weekly flow of virtual and in-person meetings. This includes setting up Zoom links, preparing relevant materials or agendas, managing follow-ups, and organizing notes or summaries to ensure progress tracking and accountability.
- Email and Communications Support:
- Timely drafting, reviewing, and dispatching of email correspondence to internal and external partners. Deliverables include a clean, organized inbox with categorization of urgent and non-urgent communications, and the creation of templates for recurring outreach such as status updates or event reminders.
- Administrative Documentation and Workflow Optimization:
- Maintenance of internal documentation, including production schedules, task trackers, and progress reports. The assistant will also support the development of shared folders and workspaces to promote efficiency and reduce time spent locating materials.
Sharing knowledge in specific technical skills, techniques, methodologies required for the project.
Direct involvement in project tasks, offering guidance, and demonstrating techniques.
Providing access to necessary tools, software, and resources required for project completion.
Scheduled check-ins to discuss progress, address challenges, and provide feedback.
